About Sanctum

Sanctum is committed to protecting your personal information and being transparent about how we use it. This policy explains what we collect, why we collect it, and what rights you have over your data.

Section 1 — Who We Are

Sanctum Wellness Retreats is operated by Sanctum Ltd, a company registered in England and Wales. We offer immersive wellness retreat experiences across international locations. When you enquire about a retreat, book a place, or contact us in any way, you are sharing information with us — and this policy explains how we handle it with care.

For questions about this policy, contact us at: privacy@sanctum.co

Section 2 — What We Collect

We collect information in the following ways:

When you submit an enquiry or book a retreat, we collect your name, email address, phone number, and any details you share about your health, preferences or dietary requirements. This information is necessary to process your booking and ensure your retreat experience is appropriate for you.

When you visit our website, we collect standard technical information including your IP address, browser type, pages visited and time spent on the site. This is collected automatically through cookies and analytics tools.

When you sign up to our newsletter, we collect your email address and, if provided, your name.

Section 3 — How We Use Your Information

We use your information to process retreat bookings and enquiries, communicate with you before, during and after your retreat, send you information about upcoming retreats and offerings if you have consented to hear from us, improve our website and understand how people find and use it, and meet our legal and financial obligations.

We do not use your information for automated decision-making or profiling. We do not sell your data to third parties. Ever.

Section 4 — Health & Sensitive Information

Some of our retreats involve physical and therapeutic practices. We may ask you to share relevant health information — such as medical conditions, injuries, or mental health history — to ensure your safety and the appropriateness of the experience. This information is treated with the highest level of care, stored securely, shared only with the facilitators directly involved in your retreat, and deleted within 12 months of your retreat date unless you ask us to retain it.

Section 5 — Who We Share Your Data With

We share your information only where necessary. This includes payment processors to handle retreat deposits and balances, retreat facilitators and hosting partners at your specific destination, email marketing tools if you have opted in to our newsletter, and analytics providers to understand website performance.

All third parties we work with are required to handle your data in compliance with applicable data protection law. We do not transfer your data outside the UK or EU without appropriate safeguards in place.

Section 6 — Cookies

Our website uses cookies to remember your preferences, understand how visitors use the site, and improve your experience. You can control cookies through your browser settings at any time. Disabling cookies may affect some functionality of the site.

We use the following types of cookies: essential cookies required for the site to function, analytics cookies to understand traffic and behaviour, and preference cookies to remember your settings. We do not use advertising or tracking cookies.

Section 7 — How Long We Keep Your Data

Enquiry data is kept for 12 months from the date of your last contact. Booking data is kept for 7 years in line with financial record-keeping requirements. Newsletter subscriber data is kept until you unsubscribe. Health information provided for retreat purposes is deleted within 12 months of your retreat date.

Section 8 — Your Rights

Under UK and EU data protection law, you have the right to access the personal information we hold about you, correct any inaccurate information, request deletion of your data where we have no legal obligation to retain it, withdraw consent for marketing communications at any time, and lodge a complaint with the Information Commissioner's Office (ICO) if you believe your rights have been violated.

To exercise any of these rights, email us at privacy@sanctum.co. We will respond within 30 days.

Section 9 — Changes to This Policy

We may update this policy from time to time. When we do, we will update the date at the top of this page. Continued use of our website after any changes constitutes acceptance of the updated policy.
